How to write a monthly client report for a marketing agency (with a template)

The monthly report is one of the few moments when a client sits down and thinks about what they are paying you for. A clear, consistent report builds trust and makes renewals easy. A messy or late one raises doubts, even when the work was good.

This guide gives you a structure that works for social media, performance and SEO retainers, and tips to make reporting a one-hour job rather than a two-day one.

What a good client report does

  • Shows the work was delivered — everything you promised in the retainer.
  • Explains results in plain language — what changed and why it matters for the business.
  • Sets up next month — what you will do next and what you need from the client.

Notice that “show every metric available” is not on the list. Clients rarely read a 30-page export. They read the first page and look for anything alarming.

The report structure

1. Summary (first page)

Three to five short points that a busy owner can read in 30 seconds. For example: “Leads from Meta ads rose from 82 to 104 while cost per lead fell 12%,” or “All 16 planned posts were published; two reels outperformed the rest.” Lead with outcomes, not activity.

2. Deliverables: promised vs delivered

A simple table of what the retainer includes and what was delivered this month. If something fell short, say why and when it will be made up. Being upfront here earns far more trust than hoping nobody notices.

3. Content published

List what went live, with dates and platforms, and highlight the top performers. One or two sentences on why a post did well is more useful than a chart of every post.

4. Advertising

Keep it to the numbers that tie to the client’s goal: spend, results (leads, purchases or messages), cost per result and, for e-commerce, return on ad spend. Compare with last month and explain big changes.

5. SEO and website

Track a fixed set of priority keywords and show their positions month to month, alongside organic traffic or enquiries if you have them. SEO moves slowly, so the trend over three to six months matters more than one month’s change.

6. Next month

What you plan to do and why, in a few bullets. This turns the report from a look back into a plan.

7. What we need from you

Approvals, product photos, offer details, access to an account — anything that will block next month’s work. Clients often do not realise they are the bottleneck until you write it down.

Tips for reporting on time, every time

  • Fix a date. For example, every client gets their report by the 5th. Put the reporting task on the calendar for every retainer automatically.
  • Collect data during the month, not at the end. When campaign results and published posts are recorded as you go, the report almost builds itself.
  • Use the same format every month. Clients learn where to look, and your team stops reinventing layouts.
  • Brand it as your agency. Your logo and colours on the report reinforce that the results came from you.
  • Send it with a short note, and offer a 15-minute call for retainers above a certain size.

Common reporting mistakes

  • Pasting platform screenshots without explaining what they mean
  • Reporting vanity metrics (impressions, followers) without linking them to business results
  • Hiding a weak month instead of explaining it and showing the plan to fix it
  • Changing metrics every month, which makes trends impossible to see
  • Sending reports late, or only when the client asks

A good report takes the same structure every month, is honest about misses and always ends with a plan. Do that consistently and the report becomes your best retention tool.
