1.Who this covers
Agencies that sign up for Rodez Flow (our customers), their team members who use the panel, their clients who open review links or receive reports and invoices, and visitors to this website.
For the data an agency puts into its workspace — its staff, clients, leads, tasks and so on — the agency decides what is collected and why, and we process it on the agency’s behalf. Questions about that data are best sent to the agency first.
2.What we collect
- Account details: agency name, your name, work email, password (stored hashed — we never see it), role and department.
- Workspace content: what your team adds — tasks, comments, files, leads, clients, projects, content posts, invoices, chat messages, notices, leave requests and similar.
- Attendance: clock-in and clock-out times. While the panel is open we record a heartbeat so a session can be closed if the tab is closed. We do not track location, screens or keystrokes.
- Billing: plan, billing email and payment status. Card and UPI details are handled by Razorpay — we don’t store them.
- Technical data: basic logs (such as IP address, browser and error details) needed to run and secure the service.
- Contact: anything you send us by email or through the contact page.
3.How we use it
- To provide the service: sign-in, workspaces, notifications, reminders, reports and emails you ask us to send.
- To bill your subscription and send account notices (for example, trial reminders).
- To keep the service secure, prevent abuse and fix problems.
- To answer your questions and support requests.
- To improve Rodez Flow, using aggregated information that doesn’t identify you.
We do not sell personal data, and we do not use your workspace content for advertising.
4.Rodez AI
When someone uses Rodez AI, their question and the workspace information needed to answer it are sent to our AI provider (Google Gemini) to generate the reply. Rodez AI can only see what that person is already allowed to see. Agencies can switch Rodez AI off, or connect their own AI account, in their settings.
5.Service providers we use
We share data only with providers that help us run Rodez Flow, and only for that purpose:
- Supabase — database, sign-in and file storage
- Vercel — website and app hosting
- Razorpay — subscription payments
- Resend — sending emails (invoices, reports, notifications)
- Google — Rodez AI (Gemini), and Google Meet / Calendar if an agency connects it
We may also disclose information if the law requires it, or to protect the rights and safety of our users or the public.
6.Where data is stored
Rodez Flow’s data is stored on Supabase servers in Sydney, Australia, and served through Vercel’s global network. By using Rodez Flow you understand your data may be processed outside India, with the safeguards described in this policy.
7.How we protect it
- Each agency’s data is separated at the database level, so one agency can never see another’s.
- Inside an agency, what each person can see and change is enforced in the database by their role.
- Connections are encrypted (HTTPS), passwords are hashed, and private files are shared only through short-lived links.
No system is perfectly secure, but we work to protect your data and will tell you promptly if a breach affects it.
8.How long we keep it
We keep workspace data while the account is active. If a subscription ends, the workspace becomes read-only so you can still see and export your data. After a workspace is closed we delete its data within [number of] days, unless the law requires us to keep something longer (for example, billing records).
9.Your rights
You can ask to see, correct or delete your personal data, withdraw consent, or nominate someone to act for you. Team members can update most of their own details in their profile; for anything else, contact your agency’s admin or us. We reply within the time the law requires.
10.Cookies
The panel uses your browser’s storage to keep you signed in and to remember preferences such as dark mode and sounds. This website doesn’t use advertising or tracking cookies.
11.Children
Rodez Flow is a business tool and isn’t meant for anyone under 18.
12.Changes to this policy
We’ll update this page when things change and show the new date at the top. For important changes we’ll also tell agency admins by email or in the panel.
